Associate Recruitment Coordinator- Laterals


The Associate Recruitment Coordinator is responsible for coordinating legal recruitment (including for lateral associate, judicial clerk, attorney, and other lateral lawyer roles) and onboarding for the Washington, DC, Northern Virginia, and Baltimore offices, as well as special projects and coordinating certain aspects of associate recruitment processes for other Hogan Lovells US Offices as assigned. The coordinator will work with the Lateral Associate Recruitment Manager, and also with the Washington Recruitment Managers and Chief Associate Recruitment Officer when requested.


  • Coordinate all aspects of lateral associate, judicial clerk, knowledge lawyer and other lawyer recruitment from position approval to onboarding;
  • Ensure job openings are posted on firm website and with external sources, as appropriate; monitor posting expiration and costs;
  • Monitor application portals to review incoming applications and ensure they are enteredinto firm applicant tracking system;
  • Prepare correspondence related to lateral candidate searches, including general correspondence, offer letters, follow up information requests, status updates and regrets;
  • Schedule, coordinate and troubleshoot all aspects of lateral associate, judicial clerk, attorney, and other lateral lawyer roles in-office interviews as assigned; keep manager and relevant practice groups informed of status of each candidate;
  • Track candidate status and outcomes, including offer outreach, follow up meetings and events (including additional interviews and/or lunches and dinners).Inform interviewers and other key contacts of outcomes and follow up activity. Communicate with candidates and search firms regarding their status as appropriate;
  • Oversee candidate travel and reimbursements;
  • Monitor the processing of conflict forms, background checks and ensure that references have been checked as appropriate;
  • Oversee entry of new hires into relevant HR systems; ensure signing bonuses or other special arrangements are noted and shared with appropriate departments;
  • Oversee the coordination of new hire orientation sessions; work with other administrative departments to ensure new hires receive necessary information;
  • Coordinate the onboarding and integration of new hires by acting as a point person until their arrival, preparing pre-arrival documentation, overseeing orientation in collaboration with administrative managers and other coordinators, checking in with new hires on a periodic basis, and ensuring a smooth transition to the firm;
  • Work with Lateral Associate Recruitment Manager to prepare lateral candidate hiring reports for submission to Chief Associate Recruitment Officer, practice group leaders, and for external reporting;
  • Track special bonus situations and prepare reports for manager review;
  • Work collaboratively with Associate Recruitment Department team members to support other functional areas, special projects and general department administration as needed.


  • Prepare and track search firm agreements;
  • Assist with relationship development for search firms;
  • Oversee processing of payments to search firms;
  • Research and provide analysis of new sources for candidates, as requested;


  • Serve as a point of contact for London Trainees, German Referendare, and Visiting International Lawyers, including coordination with international offices and HL administrative teams during transition to and from home location;
  • Communicate with relevant practice sponsors and HL immigration lawyers to develop training, development and integration plans.



  • Update and organize recruitment information, including informational reference materials for internal use by firm personnel;
  • Keep abreast of changes in firm policies and procedures as they apply to the attorney recruiting process and implement changes as needed;
  • Mentor junior team members including assistants and interns;
  • Collaborate with recruitment and other administrative team members to handle additional administrative tasks as requested;

  • Strong organizational skills and attention to detail required;
  • Strong interpersonal, written and oral communication skills with a service-oriented approach. Have ability communicate and interact effectively with candidates, all levels of firm personnel, and a variety of external entities in a courteous and professional manner;
  • Ability to juggle multiple assignments with deadlines and adapt to changing priorities;
  • Must be able to work under pressure to meet deadlines, and be able to work with a high degree of independence;
  • Ability to exercise discretion, good judgment, flexibility and maintain confidential information at all times;
  • Proficiency with Word & Excel is required. Experience working in an applicant tracking software required, viRecruit or LawCruit is preferred; additionally,experience working with Workday preferred.
  • The candidate must have flexibility to work overtime as needed.


  • Bachelor’s degree required;
  • A minimum of 3-4 years of legal or campus recruiting experience in a law firm or professional services environment required (law firm experience preferred).




Core Hours, 8:30 a.m. to 5:30 p.m. (including 1 hour for lunch) with overtime as needed.
